PMS review for Hubix

Property management systems · review for Hubix · September 2026

Which PMS should run the hubs, and what does a PMS still not do?

Guesty, Hostaway and BnBFlow compared against the way Hubix works: pooled properties (hubs) with many owners, several property managers, units that enter and leave hubs, and money that has to be traced from channel to bank. Hub24 is included as the layer that adds hub and owner visibility, and the Hubix operations, on top of whichever PMS Hubix chooses.

Comparison

Assessment of the level of service per capability, from the live accounts (screenshots below) and the public documentation. Rows tagged HUB are the hub model that Hub24 is built around; the other systems are rated on how close they get.

Capability Guesty Hostaway BnBFlow Hub24

Hub & owner visibility

What the hub model needs: pooled properties, every owner seeing the whole hub, money that can be traced.

Pooled properties (hubs) with stats visible to all owners HUB

Units from many owners form a hub; every owner of the hub sees the hub's occupancy, revenue, ANR, RevPAL, term mix and channel mix, not just their own unit.

No

Owners Portal shows an owner only their own listings. No pooled or hub-level view.

No

Owner portal shows the owner's own listings and statements only. No hub-level view.

No

Client portal shows an owner their own properties only. No hub-level view.

Full

Built around hubs (Casa del Mar, City of Mara, Coresi). Owner Portal shows hub KPIs, unit list, calendar and reservations for the whole hub.

Payout forecast by month, split by who releases the money HUB

Expected payout per month per hub, grouped by channel (Airbnb, Booking.com) or payment processor (Stripe, manual), with payout cycles, business days in transit and minimum payout rules.

No

Payout status per reservation only; no forecast of when money arrives from each payer.

No

Payout figures per reservation through formulas; no dated forecast by payer.

No

Revenue and commission per channel only; no payout schedule or forecast.

Full

Payouts: 12-month forecast per hub, processor split, per-day payout cycles, configurable schedule per channel and processor.

Identification of missing money HUB

Revenue that no payer settles (an upsell not charged in Stripe, a manual booking without a payment) is flagged and listed per booking so it can be chased.

No

Unpaid / balance-due reports per reservation only; nothing ties upsell revenue to an actual processor charge.

No

Failed charges are listed under Guest Payments only; no reconciliation of revenue against payers.

No

Not available.

Full

'Payout requiring validation' bucket: revenue with no payer is flagged as Unknown and listed per booking with unit, guest and note (41 bookings / 8,056 RON in the reviewed month).

Historical comparison per month HUB

Revenue, occupancy, ANR, RevPAL, bookings and cancellations month by month with the previous year as reference, per hub.

Partial

Analytics dashboard with period comparison for the account or per listing; nothing per hub and owner-facing analytics are per owner.

Partial

Financial reporting, occupancy report and analytics with date filters; nothing per hub, owner statements are monthly.

Partial

Reports (occupancy, revenue, channels) by period; dashboard compares the current with the previous period; nothing per hub.

Full

Overview charts show 12 months with the previous-year line for every KPI, at hub level and per unit type / term.

Entry and exit dates of a unit in the hub HUB

A unit joins or leaves a hub on a date; occupancy and revenue only count the days it was in the hub, and the calendar shows the period outside the hub.

No

Listings are active or inactive; no membership history.

No

Listings are active or inactive; no membership history.

No

Not available. Units are added to an account; no dated hub membership.

Full

Per-unit entry/exit dates; hatched calendar area before entry; KPIs respect the dates.

Change of property manager keeps the history HUB

When a hub moves from one manager to another the owners keep the full history of their units.

No

The history lives in the manager's Guesty account; a new manager starts a new account.

No

Same: history stays in the previous manager's account.

Partial

Offer: one account per hub owned by Hubix; a manager change is a user change, so units, channels and history stay. Works only if every manager is on BnBFlow.

Full

Hubs live outside the PMS. The PMS integration can be swapped; hub history, entry dates and payouts remain.

Cross property-manager metrics HUB

Compare hubs and managers with the same KPIs even when they run on different PMSs.

No

Single-account scope.

No

Expenses exist only per listing inside the Accounting add-on; no hub-level costs and no ownership shares.

No

Expenses and extras only per listing on owner statements; no hub-level costs and no ownership shares.

Minimal

Client portal shows an owner only their own properties; no hub concept.

Minimal

OTA commission per check-in and per channel in reports; no payment-fee or payout breakdown per reservation.

Full

Reservation detail shows channel fee, payment service, VAT, payout and expected payout date, plus the 'other revenue' rail (Stripe upsells).

Bank statement reconciliation

Match the transactions on the bank statement with the expected payouts.

No

Accounting add-on is built for US / Australian trust-accounting rules; reconciliation is a manual bank-statement upload and there is no Romanian bank coverage.

No

Only through QuickBooks / Xero integrations; neither offers Romanian bank feeds, so nothing reconciles automatically.

No

Not available.

Roadmap

Roadmap; the payout forecast is the basis for matching bank credits.

Visibility on several property managers

Minimal

One account per manager; no cross-account portal.

Partial

Pricing (indicative)

Pro plan (4–199 listings) is quote-based. Public sources cite roughly $40–72 per listing per month or 2–5% of booking revenue; add-ons (PriceOptimizer, Accounting, Damage Protection, Websites) priced separately. Lite starts at $9/listing.

Quote-based. Public sources cite roughly $25–50 per listing per month, compressing to ~$15–25 at volume, plus a one-time onboarding fee, a 1% Stripe application fee and a 1.8% booking-engine fee on direct reservations.

Hubix offer (Sept 2026): 20 € per short-term unit / month and 5 € per long-term unit / month (list price 27.99 €). Modules per unit/month: smart locks 5 €, WhatsApp 3 €, guest invoicing 4.99 €, tourist report 2.99 €, fiscal declarations 3.99 €, SmartPrice 8 €. Onboarding 10 €/unit once. Valid 30 days.

To be proposed: a platform fee per unit or per hub on top of whatever PMS is used. Not a PMS replacement, so it does not remove the PMS cost.

Contract and lock-in

Monthly or annual plans; annual is cheaper; downgrades only at contract end.

Annual contracts are typical; onboarding fee is non-refundable.

No mandatory contract ('fără blocaje'); optional annual prepayment for a better price; price per unit decreases with volume at agreed thresholds.

To be defined with Hubix; an offer covering the continuity requirements is available.

Public price points for Guesty and Hostaway are quote-based; the ranges quoted come from third-party pricing articles (2026) and should be confirmed with the vendors. BnBFlow figures are from the offer page prepared for Hubix (September 2026).

Main Plan · Hubix: one PMS, all managers on it

Standardise every hub on a single PMS. The BnBFlow offer is the concrete version of this plan: one BnBFlow account per hub, Hubix as administrator in every account plus a Hubix portal across accounts, each unit invoiced by its own company with e-Factura, 20 € per short-term unit and 5 € per long-term unit per month, no lock-in, onboarding of all hubs in about two weeks.

What it gives Hubix

  • One tool, one bill, one onboarding for every manager
  • Romanian compliance handled inside the PMS (e-Factura, tourist report, fișă de cazare)
  • Manager swaps become a user change inside an account Hubix owns
  • Seasonal short-term / long-term switch tailored to Casa del Mar

What it costs or risks

  • Every manager migrates away from Guesty or Hostaway: channel reconnects, lost history, retraining
  • Channel reach and revenue tooling shrink (2 channels, no dynamic pricing yet, booking site 'in launch')
  • Owners still see only their own units; the cross-hub view in the offer is for the Hubix admin and is a roadmap item
  • The hub-specific parts are pilot work, not shipped product

Hub24 · the missing layer on top of the PMS

Hubix chooses the PMS, one or several, and Hub24 is the missing layer on top: pooled hubs and owner visibility, payout forecast and missing-money detection, month-by-month history, entry/exit dates, manager changes without losing history, plus Hubix internal operations (cross-manager metrics, hub costs, reconciliation of the bank statement on the roadmap).

What it gives Hubix

  • No migration; works with one or more PMS (Guesty live, Hostaway beta)
  • Owners get hub-level transparency no PMS offers
  • Hubix gets one portal and one data model across managers
  • Hub history is independent from any manager's account

What it costs or risks

  • New PMS connections must be built before other systems can join (Guesty live, Hostaway beta)
  • Adds a fee on top of the PMS fees

How the plan fits together

Owners of each hubsee the whole hub, their units, payouts
▲ enriched with cost, hub split and history
Hub24: hubs, owner portal, payout forecast, history, Hubix opsone portal across managers
▲ reads reservations, listings, payouts through the PMS APIs
Guestymanager A
Hostawaymanager B
BnBFlowmanager C

Standardising on one PMS reduces tooling and solves Romanian invoicing, but it does not give owners a hub view, a payout forecast or a history that survives a manager change. That is what the Hub24 layer above the PMS does. Choosing BnBFlow for every hub would require a BnBFlow connector in Hub24 (API availability to confirm); Guesty and Hostaway work with the connectors that exist today (Guesty live, Hostaway beta).

Questions Hubix should settle first

  1. Compliance vs reach. Is Romanian e-Factura and the tourist report inside the PMS worth giving up 60+ channels and dynamic pricing? BnBFlow wins the first, Guesty and Hostaway the second.
  2. Who needs to see what. If owners must see the whole hub and where their money is, no PMS does it today; that is Hub24's job regardless of the PMS.
  3. Manager independence. One PMS ties every manager to one tool owned by Hubix; Hub24 works with one or more PMS and keeps the history in the hub layer.

AI-powered PMS for property managers with 4–199 listings (Pro) and 200+ (Enterprise).

Guesty is the most complete PMS of the three: 60+ channels, revenue management (rate strategies, rate plans, markups, promotions), payments, financial reporting and an Owners Portal on the Pro plan. It is also the PMS already connected to Hub24 for Casa del Mar and City of Mara.

  • 500K+ listings on the platform, 200+ marketplace integrations, 60–70+ channels
  • Lite (1–3 listings, from $9), Pro (4–199, quote), Enterprise (200+, custom)
  • Owners Portal and customisable owner statements (Accounting add-on), both per owner for their own listings
  • 24/7 chat support, 1:1 onboarding on Pro

Strengths for Hubix

  • Deepest financial model of the three: channel commissions, commission calculations, recognised revenue, guest folios
  • No migration for the hubs already on it

Gaps for the hub model

  • Owner sees only their own listings: no pooled hub view, no payout forecast by payer
  • One account per manager; a manager change means a new account and lost history for owners, which is exactly the gap Hub24 covers
  • No Romanian e-Factura or tourist-tax report; English UI; add-ons multiply the price

Channel-manager-first PMS with 300+ integrations, AI CoHost and 24/7 phone support.

Hostaway is a channel-manager-first PMS with strong operations tooling (auto-tasks, checklists, smart locks, booking website) and a flexible financial-reporting formula engine that feeds owner statements for the units an owner holds, useful when the hub concept is not important. It is the PMS used by the manager operating Coresi.

  • 10,000+ property managers, 300+ integrations, elite status with Airbnb / Booking.com / Vrbo / Expedia / Google
  • Quote-based pricing by portfolio size (2–14, 15–49, 50+ listings); onboarding fee; 1% Stripe app fee
  • Owner statements for an owner's own units, with templates, auto-statements, PDF/Excel; owner portal; AI CoHost and AI replies
  • 24/7 phone support, staff on six continents

Strengths for Hubix

  • Formula wizard: payout, PM commission, channel commission and processing fee per reservation, per listing or per channel
  • Native smart locks and a full booking-website builder

Gaps for the hub model

  • No view on the hub: owners and Hubix see units, never the hub as a whole
  • Owner portal cannot restrict a multi-unit calendar per sub-unit, so each unit must be a standalone listing
  • No cross-account view; no hub concept; no forward payout forecast
  • No Romanian e-Factura / tourist report; English UI

Romanian PMS built around check-in, fiscal invoicing (e-Factura) and Airbnb / Booking.com sync.

BnBFlow is a Romanian PMS built around the compliance side of hosting: per-stay digital check-in with the 'fișă de cazare', e-Factura through UpBill, tourist-tax report, multi-company invoicing, plus Airbnb and Booking.com sync, smart locks and WhatsApp. Its offer to Hubix proposes one account per hub with Hubix as administrator everywhere.

  • Live in Romania, Greece, Estonia, Dubai; Spain and Italy 'coming soon'; starts at €7.99 / property on the public site
  • Hubix offer: 20 € per short-term unit, 5 € per long-term unit, modules 2.99–8 €/unit, onboarding 10 €/unit, no lock-in
  • Channels: Airbnb and Booking.com; locks: TTLock, Nuki, Tuya; payments: Stripe; messaging: WhatsApp (Meta Cloud API)
  • Being built in the pilot: seasonal short-term / long-term switch, single Hubix login across hubs, booking site per hub

Strengths for Hubix

  • Only option with Romanian e-Factura, tourist report and fiscal declarations built in
  • Multi-company invoicing: each unit billed by its own company, including commission invoices with annex
  • Cheapest and most flexible commercially (no contract, price drops with volume)

Gaps for the hub model

  • Two channels only (no Vrbo, Expedia, Google) and no dynamic pricing yet, so revenue tools are behind Guesty and Hostaway
  • Owners still see only their own properties; hub-level owner visibility, payout forecast and missing-money checks are not in the product
  • The hub-specific promises (seasonal switch, single login, booking site) are pilot work, and every manager would have to migrate

Hub and owner visibility layer, with Hubix operations built in, on top of one or more PMS.

Hub24 is not a PMS. It is a hub and owner visibility layer, with Hubix operations built in, that reads reservations, listings and payouts from the PMS (Guesty connector live, Hostaway connector in beta) and adds what the PMS does not have: pooled hubs with stats visible to all owners, payout forecast with missing-money detection, month-by-month history, unit entry and exit dates, and a hub history that survives a change of property manager.

  • 3 hubs live in the owner portal: Casa del Mar, City of Mara and Coresi
  • Overview KPIs: revenue, occupancy, ANR, RevPAL, bookings, cancellations by term, unit type and channel, 12 months vs previous year
  • Payouts: forecast by month and payer, per-channel schedules, 'payout requiring validation' for revenue without a payer
  • Roadmap: bank statement reconciliation, owner statement for the whole hub, hub costs, cross-manager metrics

Strengths for Hubix

  • Solves the hub problem directly: pooled properties, every owner sees the whole hub, entry/exit dates, a manager change keeps the history
  • Money traceability owners and Hubix do not get from the PMS: expected payout dates, fees per booking, unmatched revenue
  • No migration and no loss of the tools in use; one portal for Hubix across one or more PMS

Gaps for the hub model

  • New PMS connections must be built before hubs on other systems can join (Guesty live, Hostaway beta)
  • Not a PMS: no invoicing, e-Factura, messaging or channel management
  • Bank statement reconciliation, hub costs, the whole-hub owner statement and cross-manager benchmarks are roadmap items
